The Global Alliance for Improved Nutrition (GAIN) is seeking a Finance and Administration Assistant to provide general finance, administrative and logistics support to our Pakistan office. This role will be based in Islamabad, Pakistan and will be offered on a 2 years' fixed term contract basis, subject to the availability of funding.

Reporting to the Finance and Administration Officer, the Finance and Administration Assistant will provide support to the Finance and Administration Officer and Head of Operations. You will also be responsible for providing day to day general finance, administrative and logistics support to the country office.

  • Preparing accounts payable documents (e.g. invoices, payment requests and POs) for approval
  • Ensuring all GAIN Pakistan documentation related to procurement of goods and services is in line with Pakistan tax regulations, particularly in relation withholding taxes
  • Ensuring all procurement and payment approvals are obtained in line with GAIN policies and procedures 
  • Supporting in maintaining database on Navision (Accounting Software)
  • Co-operating with the Programme Associates in the administration of meetings, events and conferences.  Organising and coordinating staff meetings, calls, drafting meeting agendas and preparing briefing notes as required
  • Ensuring office vehicle is maintained as per vehicle management policy and maintaining vehicle log
  • Responsible for filing, copying, printing as required by office staff and developing office administrative procedures as required
  • Ensuring proper tagging of office inventory and its updating its records

About You

The ideal candidate will have proven experience in administrative, finance, office management or mid-level support role. Candidates with experience working in international NGO and/or experience working with international donors/ projects would be an advantage.

You will possess strong interpersonal and communication skills and willing to work in multicultural and cross-functional environments. In addition to this, you will be fluent in written and spoken English and Urdu. The postholder should be highly flexible and willing to work outside regular working hours occasionally.

A bachelor’s degree in business administration or related field. You will be computer literate in Microsoft office and with basic accounting / book-keeping knowledge.

The starting salary on offer for this role is from PKR 1,041,396 – PKR 1,190,184 per annum (gross salary), depending on experience.
